1.0 DUTIES AND RESPONSIBILITIES
The project coordinator will be working with our internal design and construction teams to ensure projects stay on track, by lining up permits and expediting the permit process for all stakeholders. As a coordinator, you will help in obtaining building permits, permits for a structure to be altered, or specific regulatory permits required for the project. You may work with engineers, architects, and design or construction staff to ensure permit applications contain every required item to ensure optimized efficiencies in the review process.
Specific responsibilities may include:
- Identify the permitting application process by town/county/municipality in our geographic operating area.
- Compile all necessary forms needed.
- Research and setup MUD districts/City requirements for Water Taps & Permits
- Coordinate with governing utility providers such as CenterPoint, AT&T or others.
- Instruct Architect, Engineers and project manager on process and assist with permit application packages.
- Obtain documentation from relevant departments and review them to ensure project paperwork is ready to be submitted to the reviewing agency for approval.
- Submit applications, drawings and obtain permits.
- Obtain Permit and return Permit back to office and or client.
- Be the subject matter expert for the division by identifying changes and updating county application process and check list and forms.
- Develop strong working relationships with each jurisdiction with various municipal building or code departments and or officials.
- Maintain log and report status of permit application.
- Update A&E and clients with applied and received permits on a weekly basis.
- Track permits in process.
- Timely delivery of documents and materials as needed.
- Manage receipts and reimbursable expenses.
- In addition, as our full-time resource, you may be responsible for local travel to pick up documents, attend specific meetings, and to handle other client project tasks.
- Serve as Point of Contact to coordinate and facilitate services from our vendors such as Print/Reproduction, Asbestos, Registered Accessibility Specialists (RAS) and others.
- Collaborate with local officials and agencies to expedite the approval process.
- Utilize the company’s project tracking system to monitor project progress, milestones, and deadlines.
- Identify potential bottlenecks and deviations from the project schedule and work to address them proactively.
- Collaborate with design department heads to align project activities, goals, and timelines.
- Prepare regular status reports for the team leaders and design department heads.
- Facilitate regular meetings to discuss project updates, activities, and upcoming milestones.
- Monitor and track Requests for Information (RFIs) and submittals throughout the project lifecycle.
- Maintain accurate and up-to-date project documentation, including permits, approvals, and correspondence.
- Support and participate in the organization’s Continual Improvement Program to conform to ISO 9001:2015 requirements by complying with the Quality Policy and procedures and meeting QMS objectives.
- Understand the implications of not conforming to QMS requirements.
- Utilize Autodesk Construction Cloud as the company’s common data environment for the project documentation.
- Manage and organize project files, including ISO forms and adhering to naming conventions.
- Other duties as assigned.
2.0 REQUIREMENTS
2.1 EDUCATION AND TRAINING
Associate in Architecture, Design, Engineering or related degree.
2.2 EXPERIENCE
- Permit Coordination: 2 years (Required)
- Working with jurisdictions: 2 years (Required)
- City building codes: 2 years (Preferred)
- Working knowledge of Construction Drawings and related documents.
- Microsoft Excel: 2 years (Required)
2.3 KNOWLEDGE AND SKILLS
- Prior Permit expediting experience is a must.
- Experience interfacing with governing authorities.
- Self-driven, highly motivated, and able to work with minimal supervision.
- Excellent organization and follow-up skills.
- Ability to work under stress to meet deadlines.
- Ability to prioritize and multitask.
- Excellent written and verbal communication skills
- Excellent computer skills: MS Office & CRM Knowledge a must
- Strong attention to detail while producing accurate and high-quality work.
3.0 PHYSICAL AND SAFETY REQUIREMENTS

- Sitting, bending, standing, walking, 8 hours per day. Overtime may be needed during busy periods.
- Must comply with any safety or PPE requirements.
